If you’ve been with me for any amount of time, it probably won’t surprise you that I really like my calendar. Like really like.
Because of that, I get asked a lot of questions about time management, life hacks, and how to get stuff done without burnout or the trap of hustle culture.
Many of us handle all there is to do by writing a massive running list.
We keep adding tasks as they pop into our heads, until we’re staring at an overwhelming, seemingly unconquerable wall of text that just keeps getting longer.
Because let's face it, it's way easier to write things down than actually do them.
Before you know it, your nervous system is on high alert because everything looks equally urgent.
But hear this: When everything is a priority, nothing is.
That’s why I love The 4 D’s of Time Management. It's a practical tool that helps you prioritize, gives your brain permission to calm down, and helps regain focus.
Take that long list of yours and filter it into these four distinct quadrants:

DO
- These are the tasks that only YOU can truly execute
- This isn't about who does it best or who handles it exactly the way you want it done (like loading the dishwasher)
- If someone else is capable of doing it (even if you don't know who that is right now!), it does not belong in this box
DEFER
- These items need to happen, but they don't have to happen right away—things aren't likely to fall apart if you push them down the road
- Move them off your immediate radar
- They're safely stored in the "Defer" quadrant for later so they stop draining your mental energy & causing decision fatigue right now
DELEGATE
- This is where you park things others could handle...even if you don't know who that person is yet
- Don't get stuck overthinking how long it will take to explain the task to someone else
- Pass the baton anyway so you can stay connected to what matters and reclaim your lane
DUMP
- These are the lingering tasks that have been parked on your list forever
- Here is a quick reality check: If it were truly vital, not getting it done would have already created chaos in your life
- Dump it completely, or move it to a separate "dream list" for a later season
Filtering your focus this way quiets the noise and shifts you out of avoidance or overwhelm. (Because let’s be honest, circling the same tasks over and over doesn't build traction—it just taxes your confidence).
